Clery Act Travel Reporting

The Clery Act requires institutions receiving federal student aid funds, including NC State, to track and publish campus crime statistics, security policies and safety information. This reporting requirement applies to student travel lasting five or more nights at a single lodging location.

The lead traveler must ensure the following details are entered in the travel system:

  •  Lead traveler’s name, phone, and email
  •  Lodging name and address with travel dates
  •  Full list of student travelers (entered in the Travel Center comments or attached documentation)

How Reporting Works:

  • The University Travel Team monitors Travel Reimbursements (TR) and files reports with University Police for qualifying trips. A confirmation copy will be sent to the lead traveler as proof of reporting.
  •  Keep in mind that if no TR is submitted because there were no out-of-pocket expenses, the lead traveler must report the travel directly to the NC State police department. 
  •  Looking ahead: The upcoming Travel Center update will integrate this reporting process into the system, helping ensure all Clery Act requirements are automatically met.
