Third-Party Lodging

The Third-Party Lodging process is now fully automated as part of the Travel Authorization (TA) in the Travel Center. Instead of a separate pre-approval form, travelers provide the same comprehensive information within the TA, including the names and TA numbers of all individuals sharing the lodging, justification if cost savings to the university are not demonstrated, rental agreement, the full property address, and a detailed cost breakdown that accounts for all taxes and fees. Once approved as part of the TA, third-party lodging appears as a distinct line item in the Travel Reimbursement process. These changes are reflected in the Travel Manual.
Please note that PCards may be used to pay a required deposit for approved third-party lodging. However, paying the full amount in advance is a violation of University policies regarding payment or reimbursement of lodging expenses before travel takes place.
