Travel Center Enhancements: Coming Soon

The following enhancements are being made within the Travel Center with the go-live date aimed at February 2025.

  • The introduction of the travel proxy functionality is forthcoming. The Travel Proxy setup will enable employees to input travel authorizations, travel reimbursements, and travel advances on behalf of non-employee travelers such as students or visitors. This feature will eliminate the need for paper documentation for travel authorizations.
  • Email notifications for travel processes will be streamlined.  Currently, email notifications are sent separately to the employee, funding approver, and supervisor. With the update, a single consolidated email will be sent to all three parties. When responding to notifications, it will be encouraged for the individual to reply all when responding to ensure everyone remains informed.
  • Travel advances will be integrated into the travel authorization process within the travel system and no longer be processed using the current Accounts Payable forms (AP102/AP103 Employee Travel Authorization, Advance and Reconciliation and AP104/AP105 Non-Employee Travel Authorization, Advance and Reconciliation). The travel reconciliation process will be handled in the same way as travel reimbursements are currently processed.
  •  As part of these updates, the Controller’s Office will phase out forms that have become obsolete due to recent Travel Center enhancements. For instance, the AP104 Travel Authorization form, AP Travel Advance form, and several others will no longer be required.
