Detailed Deposit Descriptions

When submitting deposit paperwork, please include a detailed description of the deposit’s purpose as part of the backup documentation. Accounts Receivable needs to review this description, especially as it relates to trust fund authorities.

Due to limited space on the deposit slip, you may use shortened descriptions like “workshop,” “survey,” “reg fees,” “testing,” “travel reimbursement for TRxxxxx,” or “registration.”

However, the backup documentation must include a detailed description for each item. For example, instead of “workshop,” the backup documentation should specify “registration fee for Mickey’s Workshop on Pixie Dust Magic, project 234567.”

This detailed description is required. Missing descriptions will delay deposit processing and may result in the deposit being returned to your department for correction.
