{"id":4668,"date":"2024-05-31T13:44:59","date_gmt":"2024-05-31T17:44:59","guid":{"rendered":"https:\/\/units.cals.ncsu.edu\/business-operations\/?p=4668"},"modified":"2024-06-03T14:43:33","modified_gmt":"2024-06-03T18:43:33","slug":"servicenow-updates","status":"publish","type":"post","link":"https:\/\/units.cals.ncsu.edu\/core-support\/news\/servicenow-updates\/","title":{"rendered":"Latest Updates to ServiceNow Forms"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">As a result of discussions with CBO Business Partners and Business Services Teams, the below updates to several ServiceNow forms will go into effect on <strong>June 11<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Overall we have added additional \u201cguidance\u201d text to the forms, updated links to relevant web pages, and made the text hidden behind the circled question marks visible at all times. Below are updates to individual forms.\u00a0<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Personal Reimbursement Form<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Updates include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Revised \u201copen on behalf of user\u201d to \u201cAdmin Contact requesting on behalf of individual.\u201d\u00a0<\/li>\n\n\n\n<li>Added a new field \u201cName of individual being reimbursed\u201d which will be a look-up field to locate the individual. This field will also now populate into the Short Description field in ServiceNow to allow individuals to better identify their incidents.<\/li>\n\n\n\n<li>New question asking if the expenses will impact State Funded and\/or Receipt Projects, with a yes or no option.\u00a0<\/li>\n\n\n\n<li>New question asking if the expense will impact a Ledger 5 Project. If yes, then a second question will ask the user to list the Ledger 5 Project Close-out Date, if it is within the next 180 days.\u00a0\u00a0\u00a0<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Voucher\/Invoice Request Form<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Updates include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Added \u201cAdditional Information\/Comments\u201d before the \u201cAdd Attachments\u201d at the bottom of the form. This will allow individuals to add instructions, guidance, etc.\u00a0<\/li>\n\n\n\n<li>Updated text to include Visa Payments and Employee Relocation Allowance or Award so the new sentence reads: \u201cIs this a Utility Bill, Stipend, Honorarium, Visa Sponsorship Payment, Employee Relocation Allowance or Award?\u201d<\/li>\n\n\n\n<li>New question asking if the expenses will impact State Funded and\/or Receipt Projects, with a yes or no option.\u00a0<\/li>\n\n\n\n<li>New question asking if the expense will impact a Ledger 5 Project. If yes, then a second question will ask the user to list the Ledger 5 Project Close-out Date, if it is within the next 180 days.\u00a0\u00a0<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>JV\/IDJ Request Form<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Updates include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Under the JV option, once you select the radial circle next to \u201cJV\u201d, you will now be able to add a Department Short Description via a new field\/fillable box entitled \u201cDepartment JV Request Short Description\u201d. This is an identifier for the department to locate specific JV requests by name. Please note that long text will be truncated to fit size.\u00a0 This will also populate in the Short Description field in ServiceNow to allow individuals to better identify their incidents.\u00a0<\/li>\n\n\n\n<li>New question asking if the expenses will impact State Funded and\/or Receipt Projects, with a yes or no option.\u00a0<\/li>\n\n\n\n<li>New question asking if the expense will impact a Ledger 5 Project. If yes, then a second question will ask the user to list the Ledger 5 Project Close-out Date, if it is within the next 180 days.\u00a0\u00a0\u00a0<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PO Invoice Form<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Updates include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>New question asking if the expenses will impact State Funded and\/or Receipt Projects, with a yes or no option.\u00a0<\/li>\n\n\n\n<li>New question asking if the expense will impact a Ledger 5 Project. If yes, then a second question will ask the user to list the Ledger 5 Project Close-out Date, if it is within the next 180 days.\u00a0<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>A\/R Submit Your Billing Request Form<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Updates include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Two new fields added: User\u2019s phone number and User\u2019s email address. This information is required on the billing request.\u00a0<\/li>\n\n\n\n<li>Changed the naming of the field \u201cNCSU Department Contact\u201d to \u201cCustomer Contact.\u201d<\/li>\n\n\n\n<li>When selecting the circle button by \u201cInternal,\u201d the naming of the following two fields will now display: \u201cDepartment OUC to Be Billed\u201d and \u201cNCSU Customer Contact to Receive the Bill.\u201d<\/li>\n\n\n\n<li>When selecting the circle button by \u201cExternal,\u201d the phone number will now be a mandatory field, as it is required for billing requests.\u00a0<\/li>\n\n\n\n<li>The name of the comment box field will now read \u201cAdditional Descriptions\/Details and\/or Contacts.\u201d<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>As a result of discussions with CBO Business Partners and Business Services Teams, the below updates to several ServiceNow forms will go into effect on June 11.
