{"id":24084,"date":"2026-02-18T12:28:03","date_gmt":"2026-02-18T17:28:03","guid":{"rendered":"https:\/\/units.cals.ncsu.edu\/business-operations\/?p=24084"},"modified":"2026-02-18T12:28:05","modified_gmt":"2026-02-18T17:28:05","slug":"implementation-of-travel-manual-updates","status":"publish","type":"post","link":"https:\/\/units.cals.ncsu.edu\/core-support\/news\/implementation-of-travel-manual-updates\/","title":{"rendered":"Updated Travel Manual Resources"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\"><strong>Travel Manual Updates Video<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Controller\u2019s Office recently hosted sessions on the updated <a href=\"https:\/\/docs.google.com\/document\/d\/1PYbqQGx38xGNdvmSXbpz_LAzIZu0jrp0tTysIOk5pc0\/edit?tab=t.0#heading=h.o5netd80hva6\" target=\"_blank\" rel=\"noreferrer noopener\">Travel Manual<\/a> and released a <a href=\"https:\/\/ncsu.hosted.panopto.com\/Panopto\/Pages\/Viewer.aspx?id=0fca6fc8-58b8-4f1d-b861-b3ed001d06bd\" target=\"_blank\" rel=\"noreferrer noopener\">Travel Manual Video<\/a> highlighting key changes. The <strong>20-minute video<\/strong> is available to anyone with a Unity ID or on the <a href=\"https:\/\/controller.ofa.ncsu.edu\/accounts-payable\/travel-center\/\" target=\"_blank\" rel=\"noreferrer noopener\">Controller\u2019s Office Travel Center<\/a> website under Training &amp; Resources \u2014 please take a few minutes to review it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Travel Manual Updates Released in January 2026<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The updated <a href=\"https:\/\/docs.google.com\/document\/d\/1PYbqQGx38xGNdvmSXbpz_LAzIZu0jrp0tTysIOk5pc0\/edit?tab=t.0\" target=\"_blank\" rel=\"noreferrer noopener\">Travel Manual<\/a> is now live and can be easily searched using \u201cCtrl + F\u201d to find specific keywords. Updates include guidance on:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Comparisons: All comparisons must be completed before travel and included in the Travel Authorization (TA).<\/li>\n\n\n\n<li>Airline Seating<\/li>\n\n\n\n<li>Personal Travel<\/li>\n\n\n\n<li>Mileage<\/li>\n\n\n\n<li>Rental Vehicles<\/li>\n\n\n\n<li>AP-501 Missing Receipt Form<\/li>\n\n\n\n<li>Travel Manual Exception Documentation\n<ul class=\"wp-block-list\">\n<li>Exceptions must be approved by the Department Head; approval cannot be delegated.<\/li>\n\n\n\n<li>When approving an exception, the Department Head must add a note in the comments section with justification.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Compliance<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">All travel with a departure date on or after <strong>February 1<\/strong> must follow the new guidelines. To allow for a smooth transition, if a reimbursement is processed before February 1 with a non-compliant item, the Controller\u2019s Office will send a notification of the updated guidelines. This notification is for informational purposes only and does not indicate denial.
