{"id":23853,"date":"2025-11-11T08:48:45","date_gmt":"2025-11-11T13:48:45","guid":{"rendered":"https:\/\/units.cals.ncsu.edu\/business-operations\/?p=23853"},"modified":"2025-11-11T08:48:47","modified_gmt":"2025-11-11T13:48:47","slug":"business-purpose-justification-for-expenditures-2","status":"publish","type":"post","link":"https:\/\/units.cals.ncsu.edu\/core-support\/news\/business-purpose-justification-for-expenditures-2\/","title":{"rendered":"Business Purpose &amp; Justification for Expenditures"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Please note, as a reminder, university guidelines for \u201cDocumentation Requirement for Expenditures\u201d require that when using university funds or requesting reimbursement from university funds, documentation of a clear business purpose is needed so that an approver, reviewer, and\/or auditor can fully understand the intent of the purchase or service and how it relates to the overall mission of the university, college, and\/or department.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The business purpose serves as the basis for a determination of allowance or non-allowance of the expenditure and therefore should address the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>What <\/strong>was purchased<\/li>\n\n\n\n<li><strong>For whom<\/strong> it was purchased<\/li>\n\n\n\n<li><strong>Why <\/strong>it was needed<\/li>\n\n\n\n<li><strong>Where <\/strong>it is located\u00a0\u00a0<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Please keep in mind that simply restating the item purchased is not a sufficient business purpose. For example, \u201cfreezer\u201d would not be a sufficient explanation of the business purpose.
