{"id":1669,"date":"2024-03-22T16:02:04","date_gmt":"2024-03-22T20:02:04","guid":{"rendered":"https:\/\/units.cals.ncsu.edu\/business-operations\/?p=1669"},"modified":"2024-03-26T12:29:43","modified_gmt":"2024-03-26T16:29:43","slug":"pcard-deadlines-and-reminders","status":"publish","type":"post","link":"https:\/\/units.cals.ncsu.edu\/core-support\/news\/pcard-deadlines-and-reminders\/","title":{"rendered":"PCard Deadlines and Receipt Upload Reminders"},"content":{"rendered":"\n\n\n\n\n<p class=\"wp-block-paragraph\">Please take a moment to review the deadlines and reminders below to help ensure PCard policies and procedures are being followed and transactions are processed in a timely manner.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/docs.google.com\/spreadsheets\/d\/17yYRKXd6VyVSiFaOWAMiqa67EeHFlDArpk4FSC54-Ec\/edit#gid=317781637\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>CALS CBO PCard Billing Cycle Calendar<\/strong><\/a><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PCard Statement- <\/strong>If additional information is required in order to approve a statement, cardholders will receive notifications each week leading up to the deadline from cals_cbo_pcard@ncsu.edu. <strong><em>Please be on the lookout for these communications<\/em><\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">As a reminder, to ensure deadlines are met, cardholders should do the following:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Upload receipts within 1-3 days of the transaction date <\/strong>and please avoid uploading all receipts the day before or on the day of the reconciliation deadline.<\/li>\n\n\n\n<li><strong>Be sure receipts have written on them the project phase to be charged, a detailed business purpose, and the travel authorization number (if applicable).<\/strong><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>When uploading PCard receipts please remember the following:<\/strong><\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Itemized receipts must include:<\/strong>\n<ul class=\"wp-block-list\">\n<li>Vendor name and address<\/li>\n\n\n\n<li>Date of order\/transactions<\/li>\n\n\n\n<li>Total of the purchase<\/li>\n\n\n\n<li>Description of item(s) purchased<\/li>\n\n\n\n<li>Quantity of item(s) purchased<\/li>\n\n\n\n<li>Total breakdown of expenses<\/li>\n\n\n\n<li>Shipping to address<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Detailed business purpose<\/strong>\n<ul class=\"wp-block-list\">\n<li>A brief sentence or two on how the item or service is used. An indication such as &#8220;maintenance supply&#8221; or &#8220;lab supply&#8221; does not provide sufficient information to ensure the proper coding of transactions.<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Provide the project phase<\/strong> when you do not want to use your project default for the transaction, travel authorization number when applicable, and any other necessary documentation. <strong><em>If you revise the project within the PCard System, please ensure your receipt is uploaded to allow it to reconcile appropriately.\u00a0<\/em><\/strong><br><\/li>\n\n\n\n<li><strong>See PCard Transaction Checklist (pg. 80 of the<\/strong><a href=\"https:\/\/docs.google.com\/document\/d\/1LxVHX3k7qSTtmHOSqnfvb6s-WcXQ6F9NuG6RvhezgoU\/edit#heading=h.jq57mqvje7c4\" target=\"_blank\" rel=\"noreferrer noopener\"><strong> PCard Manual for Cardholder<\/strong><\/a><strong>).<\/strong><\/li>\n<\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Please take a moment to review the deadlines and reminders below to help ensure PCard policies and procedures are being followed and transactions are processed in a timely manner.
