{"id":665,"date":"2022-12-01T14:53:51","date_gmt":"2022-12-01T19:53:51","guid":{"rendered":"https:\/\/units.cals.ncsu.edu\/cals-it\/?page_id=665"},"modified":"2022-12-01T14:53:53","modified_gmt":"2022-12-01T19:53:53","slug":"rapid-separation-process","status":"publish","type":"page","link":"https:\/\/units.cals.ncsu.edu\/cals-it\/rapid-separation-process\/","title":{"rendered":"Rapid Separation Process"},"content":{"rendered":"\n<h3 class=\"wp-block-heading\"><a href=\"https:\/\/ncsu.service-now.com\/kb?id=kb_article_view&amp;sysparm_article=KB0018181\" target=\"_blank\" rel=\"noreferrer noopener\">Access and Account Disabling Process<\/a>&nbsp;(for regular separations and retirees)<\/h3>\n\n\n\n<h3 class=\"wp-block-heading\">What is a rapid separation?<\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li>When a supervisor is concerned that a departing employee may misuse University resources, they may request an employee\u2019s account be immediately disabled.<\/li><li>You may request a rapid separation for anyone who is not a student or has multiple jobs on campus.<\/li><li>A rapid separation action only affects access to resources that use University authentication like Wolftech AD.&nbsp; Access that relies upon local authentication methods will be unaffected.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Process for Rapid Separation<\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li>Local HR enters an action with an effective termination date.<\/li><li>Local HR will confirm the user is not a student or employed elsewhere on campus.<\/li><li>Supervisor or HR rep send an email to&nbsp;<a href=\"mailto:oit_confidential@help.ncsu.edu?subject=Rapid%20Separation%20Request\">oit_confidential@help.ncsu.edu<\/a>&nbsp;with the<ul><li>Unity id<\/li><li>desired date and time of the separation (at least 1 business day in advance)<\/li><\/ul><\/li><li>At the desired date and time, OIT S&amp;C disables the account.<\/li><li>PeopleSoft HR sends the affiliate change ~ 21 days after the effective termination date.<\/li><li>OIM disables the Wolftech AD account and an affiliates account is created.<\/li><li>Supervisor notifies CALS IT via the&nbsp;<a href=\"https:\/\/harvest.cals.ncsu.edu\/cals-it\/administrative\/forms-and-requests\/disable-user-account-request\/?pageid=1298\" target=\"_blank\" rel=\"noreferrer noopener\">Disable User form<\/a>&nbsp;and checks&nbsp;<strong>Urgent<\/strong>. CALS IT will remove user from server resources and server groups and other items indicated in form.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Rapid separation with access to employee data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In some circumstances managers need access to employee data for business continuity purposes.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Local HR enters an action with an effective termination date.<\/li><li>Local HR will confirm the user is not a student or employed elsewhere on campus.<\/li><li>The supervisor or HR rep should e-mail Employee Relations,<a href=\"mailto:employeerelations@ncsu.edu\">&nbsp;employeerelations@ncsu.edu<\/a>, explaining:<ul><li>Business justification for needing access<\/li><li>Data requested<\/li><li>Unity id of the departing employee<\/li><li>Unity id of supervisor requesting data access<\/li><li>How long the supervisor needs access<\/li><\/ul><\/li><li>Once Employee Relations responds, the response from Employee Relations should be e-mailed to&nbsp;<a href=\"mailto:oit_confidential@help.ncsu.edu\">oit_confidential@help.ncsu.edu.<\/a><\/li><li>At the desired date and time, OIT S&amp;C disables the account.<\/li><li>PeopleSoft HR sends the affiliate change ~ 21 days after the effective termination date.<\/li><li>OIM disables the Wolftech AD account and an affiliates account is created.<\/li><li>Supervisor notifies CALS IT via the&nbsp;<a href=\"https:\/\/harvest.cals.ncsu.edu\/cals-it\/administrative\/forms-and-requests\/disable-user-account-request\/?pageid=1298\" target=\"_blank\" rel=\"noreferrer noopener\">Disable User form<\/a>&nbsp;and checks&nbsp;<strong>Urgent<\/strong>. CALS IT will remove user from server resources and server groups and other items indicated in form.<\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">How is access granted?<\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li>OIT S&amp;C will scramble the password and disable password reset<\/li><li>OIT S&amp;C will then grant approved permissions to the supervisor<ul><li>Email delegation<\/li><li>Vacation response<\/li><li>Primary calendar event transfer<\/li><li>Google Drive transfer<\/li><\/ul><\/li><li>While the account is in affiliate status, only Google Drive contents can be transferred<\/li><li>When transferring Drive contents, all organization will be lost (no folder hierarchy)<\/li><li>For extended access (beyond ~21 days post termination date), Departmental HR must set the employee as a no-pay employee.<\/li><li>The supervisor needs to be prepared to provide access to W2\u2019s, salary history and other info until the affiliates account is created.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Notes:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>If the manager wants access to email or an out of office message, S&amp;C will&nbsp;<strong>grant delegate access&nbsp;<\/strong>to the account.&nbsp; The delegate can set the away message and browse or forward email.&nbsp;&nbsp;<ul><li>NOTE: The vacation message and ability to look at the email will end 3-4 weeks after separation when OIM disables the account.<\/li><\/ul><\/li><li>If the customer wants Google Drive contents, S&amp;C can transfer Google-related content to the account.<\/li><li>If the customer needs Calendar items, the Google Service team (GST) can appointments not scheduled with another person or room and will appear directly on the designee&#8217;s calendar.<\/li><li>Any requests for forms like W-2s, paystubs, etc. will have to be met by dept HR because the employee will be locked out of MyPack until OIM processes the account.<\/li><li>At the end of 3-4 weeks, OIM will terminate the account and access to email will be lost.<\/li><li>If the employee is rehired by the university, delegate access has to be revoked and the dept must work with the former employee to get the data.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">**If the separating employee is a current student, graduated student of NC&#160;State, or employed elsewhere on campus, none of the actions above can be enabled.
